September feels like summer. October doesn’t warn you.
The first cold snap in DuPage County can arrive fast—and a boiler that hasn’t been used since spring isn’t necessarily ready the moment you flip the switch.
There is a particular kind of property-management emergency that happens every fall.
The temperature suddenly drops into the 40s.
The first tenant to arrive calls the office.
“The heat isn’t working.”
Then another tenant calls.
Then someone mentions that the thermostats were switched to heat three days ago.
Then someone asks the question nobody wants to answer:
“Didn’t we test this?”
The property managers who handle fall changeover well don’t wait for a tenant to ask why their office is 58°F on a Tuesday morning. They schedule the switchover, communicate the dates, and have documentation showing that the system was tested before it was needed.
Fall HVAC changeover isn’t complicated. But waiting until the first genuinely cold morning to discover that the heating system, controls, or tenant communication aren’t ready is how a routine seasonal task becomes a building-wide problem.
BOILER STARTUP: WHAT IT ACTUALLY INVOLVES
Firing up a commercial boiler after several months of limited or no operation isn’t the same as turning up a thermostat.
The exact startup procedure depends on the boiler, fuel type, heating system, and manufacturer requirements. But a proper seasonal inspection and startup should cover the components and safety controls appropriate to that system.
Before firing, a qualified HVAC professional may check:
Fuel supply and related connections
Burner assembly
Isolation valves and system valves
Expansion tank
Pressure relief valve
Low-water cutoff
Safety controls
System pressure
Signs of leaks or other visible issues
Air should also be addressed as part of the system check. Air trapped in distribution piping can contribute to uneven heating and noise, so bleeding or purging the system may be necessary depending on the system design.
First firing matters, too.
The system should be brought up to operating conditions in accordance with the manufacturer's procedures and applicable requirements.
The technician should check for leaks and other issues as the system reaches operating temperature. Thermal expansion can reveal problems that aren't apparent when the system is cold.
For combustion equipment, appropriate combustion and flue-gas checks should also be performed. If the equipment requires a combustion analysis, this is a good time to make sure it is current and within the manufacturer's or service provider's recommended schedule.
The point isn't simply to confirm that the boiler fires.
It’s to confirm that the heating system operates safely and as intended before tenants depend on it.
Document everything.
The startup or inspection report creates a useful baseline for the heating season.
Record the work performed, equipment condition, readings where applicable, repairs identified, and any recommendations from the HVAC contractor.
When a service call happens later in the season, having that baseline can make troubleshooting faster and give the property team a clearer history of what was checked.
THERMOSTAT AND CHANGEOVER TIMING
Commercial buildings don't all make the switch on the same day.
Some properties have centralized systems. Others have individual tenant-controlled systems. Some buildings use building automation systems with multiple zones, while others have simpler controls.
For many Chicago-area commercial properties, October 1 is a useful target for having heating readiness in place, but the appropriate changeover date ultimately depends on the building, system, occupancy, and weather.
The important part is to start the process in September—not when the first cold night arrives.
That gives your team time to complete the boiler or heating-system startup, bleed or purge the system where appropriate, verify controls, identify repairs, and address problems before the building is under heating demand.
Check thermostats and controls
A heating system can be mechanically ready and still create tenant complaints if the controls aren't functioning correctly.
Check:
Thermostat operation
Heating/cooling changeover settings
Building automation schedules
Heating setpoints for each zone
Occupancy schedules
Temperature setbacks
Remote monitoring and alerts
Economizer settings and lockouts, where applicable
VAV boxes and reheat coils, where applicable
Setpoints and schedules that worked during cooling season don't automatically translate to heating season.
One thing that can easily get missed is a dual-season system where the cooling and heating equipment share controls.
A changeover done in a hurry on a cold October morning—while tenants are already calling—is exactly when mistakes are most likely to happen.
DON'T FORGET THE "QUIET" AREAS
Property managers naturally focus on occupied spaces.
But seasonal HVAC preparation should also include areas that don't generate complaints until there's a serious problem:
Mechanical rooms
Vacant suites
Storage areas
Common areas
Stairwells
Restrooms
Loading areas
Remote building zones
A vacant suite with inadequate heat can still become a maintenance problem.
A common area or remote zone can also become an issue if inadequate heat exposes pipes or other building components to damaging temperatures.
Don't assume that an area is fine simply because no tenant has complained about it.
TENANT COMMUNICATION
The calls that come in during the first cold week of the year are often about issues that could have been prevented—or at least clarified—with better communication beforehand.
A simple tenant notice sent before the switchover should cover:
The date the building will transition from cooling to heating
What tenants should expect during the first few days of operation
Who to contact if there's a temperature concern
Whether thermostats are centrally controlled
The building's standard heating setpoints, if applicable
How after-hours heating concerns are handled
It's also worth reminding tenants that some buildings or zones may take time to stabilize as the system transitions into heating operation.
The goal isn't to eliminate every heating-related service call.
It's to make sure tenants know what is normal, what isn't, and who to contact when something actually needs attention.
The best tenant communication happens before there is a problem.
THE GOAL IS TO FIND THE PROBLEM BEFORE TENANTS DO
Fall HVAC preparation isn't about predicting exactly when the first cold morning will arrive.
It's about making sure your building is ready before it does.
A few hours spent testing heating equipment, controls, zones, airflow where applicable, and tenant communication now can give your team time to address problems while they're still manageable.
More importantly, it gives you a documented starting point for the heating season.
The first cold morning should be the day your heating system goes to work—not the day you discover whether it works.
